Position Summary
We are seeking an Administrative Support Assistant to work in our offices in Crystal River, Florida. The position provides a broad range of clerical and administrative support across multiple departments or for designated management staff. This role serves as a key front-line contact for the office, requiring strong problem-solving abilities, excellent communication skills, and a professional, customer-focused approach.

Essential Duties And Responsibilities include the following. Other duties may be assigned.
  • Provide a wide range of clerical and administrative support to ensure efficient daily operations across departments including filing, copying, scanning, faxing, and email correspondence.
  • Serve as a front-line contact by greeting visitors and directing clients, customers, and staff professionally.
  • Assist with answering and route calls on a multi-line phone system, directing inquiries to the appropriate personnel or department.
  • Create, maintain, and update documents, databases, master lists, and departmental records; ensure accuracy and track changes.
  • Compile data and generate reports for management review and decision-making.
  • Coordinate with internal teams to gather information, support projects, and resolve routine issues.
  • Assist in preparing materials and supporting departmental projects and reports.
  • Schedule and coordinate meetings; prepare agendas and record meeting minutes as needed.
  • Prioritize daily tasks and manage workload to meet deadlines and key deliverables.
  • Learn, interpret, and apply departmental procedures and guidelines independently.
  • Provide backup support for clerical staff and reception functions as needed.
  • Perform other related duties as assigned by management.

Requirements:
  • High school diploma or equivalent required; Associate degree preferred.
  • Experience in contract electronic manufacturing is a plus, but not required.
  • Strong ability to multitask in a fast-paced environment with changing priorities and deadlines.
  • Excellent organizational, time management, and communication skills.
  • Ability to respond promptly and effectively to requests for assistance.
  • Strong verbal and written communication skills, including professional phone etiquette and business correspondence.
  • Proficient in writing, editing, and proofreading documents.
  • Detail-oriented with a high level of accuracy.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and data entry.
  • Comfortable using standard office equipment (computers, phones, copiers, fax machines, calculators).
  • Ability to quickly learn new tasks, systems, and software programs.
  • Employment is contingent upon successful completion of reference check.
